Start with the task and hazard
List the work activity, location, machinery, substances, noise, visibility, heat and fall risks involved. Ask the responsible safety professional to confirm the required protection level and applicable site rules before selecting products.
Check compatibility, not only individual items
A hard hat, hearing protection, eye protection and respirator may each be suitable on their own but interfere when worn together. Confirm that the complete set fits, seals and stays secure during the real task.
Specify fit, sizing and wearer needs
Include size ranges, prescription-eyewear needs, climate conditions and any task-specific mobility requirements. Equipment that is uncomfortable or poorly fitted is less likely to be worn correctly.
Request useful product information
Ask suppliers for manufacturer details, relevant standards or ratings, model numbers, care instructions and expected replacement conditions. Avoid accepting vague descriptions such as “industrial grade” without supporting information.
Plan inspection and replacement
Procurement does not end at delivery. Record issue dates, inspection requirements and replacement triggers. Damaged, contaminated or expired equipment should be removed according to site procedures.
Build a clearer PPE RFQ
State the hazard, application, quantity, sizes, required standards, delivery location and deadline. If you are unsure, identify the uncertainty rather than guessing; a responsible supplier can then ask the right clarification questions.
