Add the RFQ number, issue date, response deadline, buyer name, organisation, email and phone number. State where clarification questions should go.

Line-item schedule

For every item include a clear description, unit of measure, quantity, specification or part number and whether alternatives are permitted. Avoid combining unrelated items in one vague line.

Delivery information

State the delivery town and site, required date, receiving constraints and whether the supplier should include delivery in the price.

Quotation requirements

Ask for unit and total prices, applicable taxes, quote validity, availability, lead time, warranty where relevant and any exclusions. State the preferred quotation format.

Supporting documents

List only the documents needed for this evaluation, such as a company profile or product information. Buyers should follow their organisation's current procurement policy.

Final quality check

Before sending, confirm that quantities add up, dates are possible, attachments open and the response contact is correct. A five-minute review can prevent a long clarification cycle.
