Identify the equipment context
State the machine, system or task the item supports. Include manufacturer, model, serial reference, dimensions, material and operating conditions where relevant.
Separate exact-match and equivalent items
Mark components that must be an exact make or part number. For acceptable equivalents, define the performance, material, dimensions and compatibility that cannot change.
Use photos as supporting evidence
Clear photographs of labels, connection points and existing parts can help clarification, but they should support rather than replace written measurements and part references.
Address quality and documentation
Ask for the documentation relevant to the item: manufacturer data, warranty terms, certificates or inspection information. The required evidence varies by product and application.
Evaluate the whole offer
Compare lead time, delivery, support, warranty, exceptions and lifecycle implications in addition to price. A cheaper incompatible part can create a much larger operational cost.
Create a technical clarification window
Give suppliers a contact and deadline for questions. Record clarifications and share material changes consistently with all bidders when running a formal process.
